Privacy Policy

Effective date: 18 August 2026 Last updated: 18 August 2026

1. Who we are

Lucent Associates, LLC, doing business as The True Tally Solutions (“we”, “us”, “our”) is a bookkeeping and financial-support business serving the Houston, Texas area. We are not a CPA firm and do not provide tax, legal, investment or attest services.

2. What this policy covers

This policy explains what personal information we collect, why, how long we keep it, and how to ask us to delete it. It covers:

  • thetruetally.com — visitors to our website.
  • Our social media publishing system — the software we operate to plan, review and publish our own marketing posts to our own accounts on Instagram, Facebook, LinkedIn and TikTok.

It does not cover the bookkeeping services we provide to clients. Those are governed by our client engagement agreement, and Section 4 explains why that separation is absolute.

3. Information we collect

3.1 From visitors to our website

  • Contact details you give us — name, email address, phone number and anything you write, when you submit a contact form or request a consultation.
  • Technical information — IP address, browser type, pages visited, and referring page. Collected by our website host and any analytics we use, to keep the site working and understand which pages are useful.
  • Cookies — our website runs on WordPress and may set cookies for site functionality and analytics. You can block or delete cookies in your browser; parts of the site may stop working properly if you do.

3.2 Through our own social media accounts

Our publishing system connects to social media accounts that we own and control. Through the official APIs of those platforms, it handles:

  • Account and page identifiers and access tokens for our own business accounts.
  • Content we create — captions, images, videos and their metadata, before and after publishing.
  • Publication records — the platform’s post identifier, timestamp and status for each post we publish.
  • Engagement metrics — counts of impressions, reactions, comments and shares on our own posts.
  • Limited public interaction data — where a platform’s API returns it, information about people who comment on or mention our posts, including their public profile name and comment text.

3.3 From our own team

  • Approver email addresses for the small number of people authorised to review and approve our posts before they publish, together with a record of who approved what and when.

4. What we never collect through this system

This section matters more than any other, so it is stated plainly.

Client bookkeeping records never enter our social media publishing system. No client names, account numbers, bank or payroll data, tax identifiers, financial statements or any other confidential client information is used as source material for social content, and none is stored in, processed by, or sent to any social media platform or AI service by this system.

This is enforced in software, not merely promised: the system automatically scans every post before review and blocks any content containing identifiers such as Social Security numbers, employer identification numbers, bank routing or account numbers, or payment card numbers. A blocked post cannot be published.

Client information is handled entirely separately under our client engagement agreement.

5. Why we use this information

InformationPurpose
Contact form submissionsTo respond to your enquiry and, if you ask, to discuss our services
Website technical dataTo operate and secure the site and understand which content is useful
Our own account credentialsTo publish our marketing posts to our own accounts
Content and publication recordsTo create, review, approve, publish and keep a record of our own marketing
Engagement metricsTo understand, in aggregate, which of our posts are useful to our audience
Public interaction dataTo read and respond to comments on our own posts
Approver email addressesTo send posts for human approval before publishing, and to keep an audit record of that approval

We do not sell personal information. We do not use it for advertising targeting, and we do not buy or build audience lists from it.

6. Human approval, and how content is created

Our marketing content is drafted with the assistance of AI and is always reviewed and approved by a person before it publishes. No post reaches the public without an explicit human approval. AI is used only to draft and revise our own marketing copy; it is never given client information.

7. Who we share information with

  • Social media platforms — Meta (Instagram and Facebook), LinkedIn and TikTok, to the extent needed to publish our own posts. Their handling of your information is governed by their own policies, linked in Section 12.
  • Service providers — our website host, email provider and, where used, an AI provider for drafting our marketing copy. They act on our instructions and are not permitted to use the information for their own purposes.
  • When legally required — if we are compelled by law or must protect our legal rights.

We do not sell or rent personal information to anyone.

8. How long we keep information

InformationRetention
Contact form submissionsUp to 24 months, or until you ask us to delete them
Website technical logsTypically up to 12 months
Our published content and publication recordsRetained as a business record
Aggregate engagement metricsRetained as a business record
Social platform member data (commenter profile details and activity)Not retained. Where a platform imposes shorter limits, we honour the strictest that applies — for LinkedIn, member social activity is held no longer than 48 hours and member profile data no longer than 24 hours
Approver email addresses and approval recordsFor as long as the person is an authorised approver, plus the period we are required to keep business records

9. Your rights and how to exercise them

Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected, to have it deleted, to opt out of its sale (we do not sell it), and not to be discriminated against for exercising these rights. Texas residents have these rights under the Texas Data Privacy and Security Act.

How to request deletion of your data

Email devender@thetruetally.com with the subject line “Data deletion request” and tell us what to delete and how to identify it — for example, the email address you used on our contact form, or the social platform and username you commented from.

We will confirm receipt and complete the request within 45 days, and will tell you if we need longer. We may need to verify your identity before acting, and we will not ask for more information than that verification requires.

You may also ask us what information we hold about you, using the same address.

10. Security

We protect information with access controls, encryption in transit, and encryption of stored credentials. Access to our publishing system is limited to the small number of people who need it. Credentials are stored in a secrets manager, never in source code.

No system is perfectly secure, and we do not claim otherwise. If a breach affects your personal information, we will notify you as required by law.

11. Children

Our website and services are intended for business owners. They are not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

12. Third-party platforms

When you interact with us on a social media platform, that platform also collects and processes your information under its own policy:

We do not control those platforms and are not responsible for their practices.

13. Changes to this policy

If we change this policy we will update the “last updated” date above. Material changes will be flagged on this page. Continuing to use our website after a change means you accept the updated policy.
